Registration Policies

 

All conference attendees agree to comply with all rules and conditions of the University Risk Management and Insurance Association (URMIA) and the 2021 annual conference. This includes adherence to general standards of professional conduct in URMIA’s Event Safety & Responsibility Policy and correspondence regarding the conference, posted onsite and in virtual spaces.


Attendance Policy

Attendees must register in advance with their actual name and organization for admission to conference activities. Registration may not be used for advertising, promotions, giveaways, sweepstakes, or other trade purposes without express written consent from the executive director.

Full Conference Experience in Seattle

Attendees must wear an URMIA name badge during the conference. A name badge will be provided at the registration desk and is required for admission to all activities and events. Badges are closely monitored to prevent unauthorized persons from participating.

Virtual Experience

Do not share links or login credentials granting access to conference sessions and materials. Access is closely monitored to prevent unauthorized persons from participating in the event.

 

Cancellation Policy

Full Conference Experience in Seattle

Full registrations are covered by an Inability to Attend policy, which will provide a full refund for registration fees per the terms of the policy’s coverage. To request a refund, please go to the claims form.

 

Virtual Experience

There are no refunds of registration fees for virtual attendance. Recordings of designated sessions will be available on demand for 90 days following the conference.

All Registrations


If URMIA is unable to host the conference in Seattle, we will transfer your registration to an all-virtual conference experience. Your registration will grant you full access to that event, including recordings.


If URMIA must cancel this conference completely, liability is limited to registration fees paid only. URMIA is not responsible for other expenses incurred, including travel, accommodation, and system requirements for virtual attendance.

 

Substitution Policy

Registration substitutions are allowed prior to the beginning of the conference. Send the name of the registrant and substitute attendee's name and contact information to the URMIA National Office.

 

Payment Policy

Online registration requires full payment by credit card or electronic check through our secure payment processor. If you cannot make an immediate payment, contact the National Office to register.

All invoices must be paid in full by October 16, 2021. Checks made payable to URMIA should be sent to:

Payments to URMIA are not deductible as charitable contributions for federal income tax purposes.

 

Accessibility

We will do our best to accommodate persons with disabilities by ensuring access to all association-sponsored educational programs and social activities. If you have special needs, please list required accommodations when prompted for accessibility needs during online registration. You may also contact URMIA for further clarification.


No Solicitation

Registrants may not send bulk e-mail or mass solicitations to URMIA conference attendees. The online community for conference attendees may not be used to market or sell products or services. Attendees are encouraged to use the online community to ask questions, share ideas, connect with each other and coordinate activities that do not compete with URMIA programming.

 

Appearance Release

Photographs, screen grabs, audio recordings, and videos may be captured by URMIA or its agents and employees during the conference. By registering for this event, attendees grant permission to URMIA to utilize any such images and recordings for commercial and promotional purposes, in any medium or context now known or later developed, without further authorization. The attendee shall have no right of approval, no claim to financial compensation, and no other claim arising out of such use of the attendee’s name, likeness, image, voice, statements, and/or surroundings.

 

No Sharing Content

You may not sell, distribute, stream over the Web, or otherwise use any part of the conference programming or content (live or recorded) other than for personal, archival use without prior written consent by the executive director.

We encourage you to share your conference experiences in social media. As a courtesy, ask permission before posting or tagging photos of others.
