Voting Member Role Expectations

Each member organization names a voting member who is responsible for several important roles within URMIA including:

  • Keep the URMIA Office updated on any roster changes due to the addition of new employees, employee departures, etc., and approve any changes to the membership roster.

  • Fill the allotted number of membership seats that are part of your membership (the number is based on your membership level, which URMIA can share with you) with campus colleagues who can benefit from access to URMIA resources (complete this form to add a new person to your roster).

  • Vote in any official business for URMIA, including the annual election for the URMIA board of directors, usually just once a year. 
    • Name a proxy vote if the voting member cannot cast the organization’s vote during the annual business/election voting period.
       
  • Receive/process the annual invoice for membership dues renewal.

Qualifications

The voting member receives URMIA member benefits as does other URMIA members on your organization’s membership roster. The voting member should be someone who can benefit from access to the resources and is, or is willing to become, familiar with URMIA as an organization and all of its resources to help your organization get the greatest value from its URMIA membership.  

Who Is Our Voting Member

Find who your organization’s voting member is by doing a search in the Member Directory on your organization’s name and you’ll find a red “Voting Member” ribbon under the person’s name who we have listed as the voting member. 

How Do We Change Our Voting Member

If you are currently the voting member and this position isn’t the right fit for you, please contact the URMIA Office to name another person from your organization as the voting member. If the person listed is no longer at your institution, someone at the institution should contact the URMIA Office and let us know who we should give the voting member role to (If the new voting member isn’t yet an URMIA member, complete this form with the new person’s information and include in the comment box at the bottom of the form that the person should be the new voting member).

No. Contact URMIA with any changes. If you need to add someone new to your roster, you can complete this form to give us the information needed to create the new account. 

Not with much specificity and it won’t tell you how many membership seats you have assigned or unassigned. You can search the Member Directory on your organization name, but the best way is to ask the URMIA Office.

The number of seats corresponds to your membership level/tier. If you are a tier 6 member, you get 6 membership seats. (Your tier is determined by your FTE enrollment as reported in IPEDS. More information is here on the dues chart.) The URMIA Office is always willing to answer questions about your membership/roster, too.

Yes…this can be done in 1 of 2 ways: 1) Set up a quick lunch meeting to review the candidate videos near the time URMIA is conducting its election (usually July) as a group and make a group decision or 2) Name someone as a proxy to cast the organization’s vote for the current year’s election.
